Privacy notice

Pentapod Private Limited (“Pentapod”, “we”) is an Indian systems engineering company headquartered in Kerala, India. This notice explains how we handle personal data submitted through pentapod.io. We are the data fiduciary for that data.

We collect what you choose to send us, and limited analytics about how the site is used:

• Contact form — your name, email address, phone number and organisation (both optional), the area you choose and your message. Used only to reply to your enquiry and discuss the work you ask about.
• Careers form — your name, email address, phone number (optional), area of interest, a link you share (optional) and your message. Used only to assess your application and, if you tick the option, to consider you for future roles. We never ask for Aadhaar, date of birth, photographs or salary history on this form.
• Technical data — your IP address is recorded with each submission and in our web server logs, used only to keep the site secure and prevent abuse such as spam.
• Website analytics — the pages you view, how you arrived (for example a search engine or a link), your approximate country, your browser, device type and screen size, and the time of your visit. Used only to understand which pages are useful and improve the site. Details are in Analytics below.

We measure how the site is used with Matomo, an analytics tool we run ourselves on our own server. No analytics data is sent to, shared with or sold to any other company, and none of it is used for advertising or to build profiles across other websites.

You choose how much is collected, and you can change your choice below at any time:

• No cookies (the default, until and unless you allow cookies) — visits are counted anonymously. No cookies are set. Your IP address is shortened before it is stored (the last two parts are removed), so it can no longer identify you. We cannot tell whether you have visited before.
• Allow cookies — as above, plus two first-party analytics cookies that let us recognise a return visit and see how visits connect over time. They contain a random identifier, not your name or contact details.
• Don't count me — the analytics script is not loaded and nothing is sent.

If your browser sends a “Do Not Track” signal, we do not count your visit at all. Raw visit records are deleted after 12 months; only anonymous totals (such as monthly page views) are kept longer.

This website sets no cookies unless you allow analytics cookies. If you do, it sets:

• _pk_id.* — a random visitor identifier, so a return visit is recognised. Expires after 13 months.
• _pk_ses.* — marks the current visit. Expires after 30 minutes.

Both are first-party: they belong to pentapod.io and are read only by our own analytics server. We use no advertising or social media trackers, and the site loads nothing from other companies — fonts, images and the analytics script are all served from our own server.

Your analytics choice itself is stored in your browser's local storage, so we don't ask again on every page. It never leaves your device, and clearing it in your browser settings simply brings the question back.

By sending the contact form you provide your details voluntarily so we can respond. The careers form asks for your explicit consent to use your details for your application, and separately, optionally, for future roles. You can withdraw consent at any time, and it is as easy as giving it: send us a message saying so. Analytics cookies are used only if you allow them, and you can withdraw that consent in one click under Analytics.

• Enquiries: up to 24 months after our last contact with you.
• Applications: up to 12 months, or up to 24 months if you asked us to consider you for future roles.
• Server logs: kept for security purposes and deleted on a rolling basis.
• Analytics: raw visit records are deleted after 12 months; anonymous totals are kept.

The website uses encrypted connections (HTTPS). The website, the details you submit and our analytics are hosted with OVHcloud on a server in Europe. Form submissions are kept in files that only the website application can read, and the analytics dashboard is not reachable from the public internet. Our team in India accesses this data only to respond to you, to improve the site and to keep it secure, and access is limited to the people at Pentapod who need it. We do not sell or rent personal data, and we share it with others only where the law requires us to.

You can ask us to tell you what personal data we hold about you, to correct or update it, or to delete it. Where the law provides it, you may also nominate someone to exercise these rights on your behalf.

If you are in the European Union, the European Economic Area or the United Kingdom, the General Data Protection Regulation (GDPR) or the UK GDPR may apply when you contact us. The controller of your data is Pentapod Private Limited, India. We rely on these legal bases:

• Contact form — taking steps at your request before a possible contract, and our legitimate interest in replying to business enquiries (Article 6(1)(b) and (f)).
• Careers form — your consent (Article 6(1)(a)), which you can withdraw at any time.
• Anonymous, cookie-free analytics — our legitimate interest in understanding how our website is used, with IP addresses shortened before storage and a one-click opt-out (Article 6(1)(f)).
• Analytics cookies — your consent (Article 6(1)(a)), which you can withdraw at any time.
• Security logs — our legitimate interest in keeping the website secure and preventing abuse (Article 6(1)(f)).

You have the right to access, correct or erase your data, to restrict or object to its use, to receive it in a portable format, and to withdraw consent. Send requests through our contact page with “Privacy” at the start; we respond within one month.

We are based in India, which does not have an adequacy decision from the European Commission or adequacy regulations in the UK. We access your details from India only as needed to respond to the request you send us, and protect them as described in this notice.

You can also complain to the data protection authority in the country where you live or work — for example, the Information Commissioner's Office in the United Kingdom.

To exercise your rights, withdraw consent or raise a concern, send us a message through our contact page with “Privacy” at the start. We will acknowledge it and aim to resolve it within 30 days.

If you are not satisfied with our response, you may complain to the Data Protection Board of India under the Digital Personal Data Protection Act, 2023.
